Switching vacation rental managers means coordinating responsibilities for a working home, including stays already booked. The aim is a documented handover with a named person responsible for each task.
There is no universal transfer process or guaranteed timetable. Your agreement, account setup, booking channels and upcoming arrivals determine the sequence. Use this checklist with both providers before making changes that affect guests.
Confirm the agreement and the dates
Read your current agreement before choosing a handover date. Identify the notice process, any continuing responsibilities for accepted bookings and the records you need at the end. Ask the outgoing provider to confirm its understanding in writing. If terms are disputed or unclear, get qualified advice before acting on an assumed right to end the arrangement.
Record: proposed end date, outstanding questions, who will answer them and the date you need confirmation.
Make a reservation-by-reservation plan
List upcoming stays by booking reference, channel, arrival and departure dates. For each stay, identify who is responsible for guest messages, preparation, in-person help and the financial closeout. Mark reservations that cross the proposed handover date. A calendar export is useful for visibility, but it does not itself change the booking agreement or transfer a reservation.
Record: the person responsible for each stay, any platform-support case, and whether the guest communication is complete.
Separate listing access from listing ownership
Write down who owns or controls each platform account and who merely has delegated access. Confirm the available route with the platform before changing permissions. A manager who is a co-host on an owner-controlled account is a different situation from a manager who created the listing in its own account. Do not assume that a password change, new listing or software import moves bookings or reviews.
Record: listing URL, account role, approved access arrangement and any unresolved platform requirement. Use delegated access where available rather than circulating shared passwords.
Assign one guest communication lead
Agree who will send each required update through the relevant booking channel. Give guests a consistent contact and confirmed instructions. Do not send competing arrival messages from two teams or tell guests to cancel and rebook simply to simplify the handover. The applicable platform process, reservation terms and guest choices must guide the plan.
Record: who sends the update, when it is sent, the approved wording and where a guest response is tracked.
Walk the property and its operating systems
Arrange a handover of cleaning instructions, supplies, open maintenance work and vendor contacts. Test the access method that will be used for the next arrival and identify a backup. Schedule permission and code changes so the responsible team can still service accepted stays. For a Michigan home, include property-specific seasonal tasks such as snow access or shutting down seasonal equipment; confirm who handles them locally.
Record: unresolved tasks, the next turnover, the person who can attend and the point at which each system changes hands.
Close out records and check the first stays
Agree when the final statement and supporting records will be available. Track unresolved refunds, expenses and amounts still due separately from the operational handover. Then review the next arrival and departure with the responsible team: did the guest receive the right instructions, was the home ready and were any calendar conflicts left open?
Record: final-report date, open items, responsible person and a follow-up date. Keep the handover open until those items are explained.
Can existing bookings move to the new manager?
Airbnb: do not assume an account or booking transfer.
Airbnb says account ownership cannot transfer to another host, and reservations cannot transfer to a new host or account. Co-hosting is a separate arrangement. Confirm what is possible for your listing before making a change; deleting an account with pending reservations can cancel them. Read Airbnb's account and booking transfer guidance.
Vrbo: follow its host-transition process.
Vrbo's policy covers property-management changes and sets requirements for guest notification, calendar availability and the listing. Where the hosts agree to honor existing stays and guests choose to retain them, it requires a new listing and contact with Vrbo Support to transfer reservations. Review the complete Property Sale and Host Transition Policy with the providers before acting. Do not apply Airbnb's process to Vrbo, or assume moving a calendar completes either process.
A simple handover record
Create one entry for every unresolved item using this format: booking or task / current responsible person / next responsible person / action needed / confirmation / follow-up date. Keep sensitive guest records in the appropriate secure system; a general planning sheet can use reservation references.
For example, a stay spanning the change date needs a confirmed person for the arrival, another for the departure if responsibilities change, and one clear guest contact throughout. A manager start date by itself does not settle those details.
